18 Steps to More Successful Meetings

Before the Meeting: 1. Plan the meeting carefully: who, what, when, where, how many. 2. Prepare and send out an agenda in advance. Allow time for feedback on agenda items prior to meeting date. 3. Come early and set up the meeting room.
At the Beginning of the Meeting: 4. Start on time!!! 5. Get participants to introduce themselves and state their expectations for the meeting (particularly important when group members do not know each other, or are new). 6. Clearly define roles (also important as in 5 above). 7. Review, revise, and order the agenda, with whole group, summarizing carry over items. 8. Reconfirm time limits on agenda items and ending time. 9. Review action items carried over from the previous meeting.
During the Meeting: 10. Follow the agenda, in particular paying attention to time. At the End of the Meeting: 11. Summarize the items that require action and confirm who is to do what, etc. 12. Review the times and places of any subcommittee meetings that will be held before the next meeting of the group. 13. Set the date and place of the next meeting and develop a preliminary agenda. 14. Evaluate the meeting. 15. Close the meeting on a positive note and on time. 16. Clean up and leave the room the way you found it.
After the Meeting: 17. Prepare the group minutes and distribute them. 18. Follow up on action items and begin to plan the next meeting.
