Payroll Cycle Consolidation Changes

2/28/2018

Good morning, UF!

As you are aware, the University of Findlay is undergoing a major initiative to implement Workday as our primary system for most functions. One major change includes a move to consolidate our payroll cycles into one bi-weekly payroll to simplify our process and lessen the administrative overhead of maintaining separate pay cycles. Because of this consolidation, and considering we are moving payroll into Workday, there are a few changes that may affect you. Please read through this note to see what these changes are and what impact they may have on you personally. We would like to make sure you are aware so you can plan accordingly for this summer’s big change.

So, what does this change mean for you?

If you are currently paid Bi-Weekly (paid every 2 weeks and not necessarily on the 15th and 30th of each month)*, you will remain on your current pay cycle, with the first pay from our new Workday system being dated July 13th. This covers the pay period of June 24th through July 7th. Although your pay frequency is not changing, it does mean that your time entry starting June 24th will be in the new Workday system. User training will be available prior to this change to help aid you in this transition. The diagram below reflects the time entry changes.

If you are currently paid Semi-Monthly (paid on the 15th and 30th of each month, unless the 15th or 30th falls on a weekend or holiday, then paid prior to the weekend/holiday)*, you will be moved to the newly consolidated bi-weekly payroll with the first pay being received on July 13, 2018. As a result of the change, your remaining salary for 2018 will be paid over 13 pays instead of 12. This will cause your individual pay amounts to be less; however, you will receive one extra pay, resulting in a total of 25 pays for 2018.

Over the next few months, you will see more communications from the UniFire Team on how Workday will improve the way we do business.
