Accessing Workday While Traveling

2/15/2019

As a reminder, we’d like to provide you with information regarding the use of Workday MFA when you are traveling and/or working remotely. Please keep in mind that MFA settings can only be updated on-campus, so you need to be on the university network if you want to change your phone number or MFA method of choice.

I’m traveling soon. What should I do to be able to connect to Workday?

The (free) Microsoft Authenticator mobile app is the best option. You can download the app via Apple iTunes and the Google Play Store. Once downloaded, register your phone on the MFA log-in page, and you will be ready for access from any location.

Do I need internet or cell service to use the MFA app?

No. Simply go into the Microsoft Authenticator app and use the 6-digit verification code to enter into the application portal. When you are logging in, be sure to choose the “enter verification code” button to input the 6-digit code. NOTE: If you are traveling, the MFA verification code does NOT require any data or connectivity; it can be done when your phone is offline.

What other MFA methods can I use to log into Workday?

  • “Send notification to my mobile app”

    • This option pushes a notification to the authenticator app on your smartphone or tablet. View the notification and, if it is legitimate, select “Authenticate” in the app.

    • Requires cell service.

  • “Call me at XXXX (last 4 digits of your cell/office/home phone number)”

    • Places an automated voice call to the phone number you provide. Answer the call, and press # in the phone keypad to authenticate.

    • Requires cell service.

  • “Text me at XXXX (last 4 digits of your cell phone number)”

    • Sends a text message containing a verification code. Following the prompt in the text, either reply to the text message or enter the verification code provided into the sign-in interface.

    • Requires cell service.

  • “Use verification code from my mobile app”

    • In this mode, the authenticator app generates a verification code that updates every 30 seconds. Enter the most current verification code in the sign-in interface.

    • Does NOT require cell service.

I use my office phone for MFA but won’t be physically working in the office. What now?

If you use your office phone for MFA and are going to travel or work remotely for a period of time, consider switching to the mobile app.

I have a new phone number or will be traveling with temporary international number. What should I do?

Remember to register your new phone number or temporary international number. Log on to workday.findlay.edu, and choose the “Change My MFA Settings”. Once there, log in and choose the “Change Phone” icon; enter your new number and save.

  • If you change your SIM card to an international SIM, this method of using two-step will continue to work without additional setup. However, other methods (like texting or phone call) will understandably stop working if you have a new SIM card.

  • NOTE: if this is a temporary phone number, remember to change it back when you are done using it.

Additional information and MFA videos are provided at the Workday website. If you have login issues that this email/website does not address, contact the Help Desk.
